Event LED Screen Checklist

Everything to confirm before your event so your LED wall shows up, sets up, and runs without surprises.

Before your event, confirm six things for a smooth LED screen setup: your venue and whether it is indoor or outdoor, the screen size and pixel pitch for your audience, your content and sources, power and rigging, the load-in and strike schedule, and who runs the screen during the event. A turnkey provider handles most of this for you.

Before you book

  • Venue and environment: indoor or outdoor, ceiling height, and access for load-in.
  • Audience and sightlines: how many people and how far the back row sits, so we size the wall and pitch.
  • Date and run time: single day or multi-day, including rehearsal.

Content and technical

  • What you are showing: slides, video, or live camera (IMAG), and at what resolution.
  • Sources and switching: laptops, media servers, cameras, and who is operating them.
  • Audio: whether you need PA, microphones, and playback with the screen.

Logistics and run-of-show

  • Power: available circuits or generator, and distribution to the wall.
  • Rigging: ground support or truss, with wind planning for outdoor sites.
  • Schedule: load-in, soundcheck, show, and strike windows at the venue.
  • On-site operator: a technician to run the wall and handle anything live.

With a turnkey rental, we handle the setup, power, rigging, and operation for you. Send us your event details and we will build the plan.

Common questions

Questions, answered

What do I need to plan for an LED screen at my event?

Confirm your venue (indoor or outdoor), audience size and sightlines, screen size and pixel pitch, content and sources, power and rigging, the load-in and strike schedule, and who operates the screen. A turnkey provider handles the technical pieces for you.

How early should I book an LED screen for an event?

Book as early as you can lock your date and venue, especially in busy event seasons, so you get availability and time to plan. We also take short-notice requests when gear and crew are free.

Do I need to provide anything for the setup?

Mainly your content and access to the venue and power. We bring the screen, processing, rigging, and crew. We will tell you up front if the venue needs anything specific, like additional power.

Who runs the screen during the event?

Our turnkey rentals include an on-site technician who runs the display, switches sources, and handles anything that comes up, so your team can focus on the event.
